OTI spam & virus email filtering

OTI uses a commercial product, Proofpoint, for spam and virus email filtering.

FSU already scans all OTI owned email domains and many departmental email domains (at the department's request), so individual users do not need to do anything, their email is probably already being scanned and filtered for both spam and viruses. The following is a list of the domains that we filter for. If your domain is not in one of these email domains, (i.e. username@domain), then your email is not being filtered by UCS. In that case, you should speak with your departmental IT personnel about filtering options available to you.

Spam and Virus Filtering

We scan incoming (to FSU users) and outgoing (from FSU users) emails for spam and viruses. Any email determined to contain viruses or to be spam is discarded by the servers and is not delivered to the recipient. Neither the email sender nor recipient are notified that the spam/virus email has been discarded. Most viruses and spam emails are sent from forged email addresses, so notifying the real sender is impossible and notifying the forged from address would be confusing and annoying. Notifying the recipient that someone tried to send them spam or a virus is possible, but would just fill up your inbox with notifications which would be almost as disruptive as the spam or viruses that they are notifying you about. Our spam/virus filtering is very accurate and there are very few cases where someone's legitimate email is discarded as spam.

If you suspect that you did not receive an email because it was discarded as spam, please email the following information to help@fsu.edu within 14 days of the message's sent date and we will attempt to trace it.

Include the following information in the email:
1. The sender's email address.
2. The recipient's email address.
3. The date the email was sent.

Message Size Restrictions

The size limits of messages sent through the Proofpoint servers are:

  • message size can be no greater than 20MB
  • message can have no more than 256 attachments
  • message cannot have an archive attachment with more than 256 files in it
  • message cannot have an archive attachment with a depth greater than 20.

Emails that exceed these limits will be bounced back to the sender with a "Message Size Violation" error and a message explaining the size limits. The bounce message also advises the sender to use the FSU Dropbox Utility to send large attachments.

Please use the FSU DropBox Utility to send attachments that cannot be sent via email due to message size violations. The FSU DropBox Utility can be found at: https://dropbox.ucs.fsu.edu/. Please note, the FSU Dropbox Utility has its own size limitations - see About the Dropbox for more information.

Attachment File Type Restrictions

Certain file types are considered potentially dangerous because they can contain executable programs or macros and therefore files with the following extensions are blocked:
Extension Equals: "386", "3gr", "add", "ade", "asp", "bas", "bat", "chm", "cmd", "com", "cpl", "dbx", "dll", "exe", "fon", "hlp", "hta", "inf", "ins", "isp", "js", "jse", "lnk", "mdb", "mde", "msc", "msi", "msp", "mst", "ocx", "pcd", "pif", "reg", "scr", "sct", "shs", "shb", "url", "vb", "vbe", "vbs", "vxd", "wri", "wsc", "wsf" or "wsh".

Emails that contain files of these types will be delivered to the recipient with the offending files stripped off. A message will be appended to the bottom of the email explaining which files were stripped and why and advising the recipient to use the FSU Dropbox Utility to send these types of attachments.

We understand that not all files with these extensions are dangerous (just potentially dangerous, especially if they are from unknown or untrusted sources). So, for cases where you need to transmit files with these types or extensions, please use the FSU DropBox Utility to send attachments that cannot be sent via email. Archive attachments (such as "tar" and "zip" type files) are not systematically blocked. However, if the archive attachment file contains a file of a prohibited type from the above list, then the entire archive file will be stripped from the email. Also, if an archive file is password protected, then the virus scanner cannot open the file to check it for viruses, and the email is discarded and not delivered. They are several popular viruses that propagate through this method.
